A key feature of the franchise system is the BEPM unit which has been designed to take care of all back office and administration tasks associated with a property management. Operated centrally for the Bairstow Eves franchised network, the unit takes care of 'post let' activities including;

  • correspondence with landlords and tenants
  • preparation of tenancy agreements
  • collection and management of dilapidation deposits
  • collection of first and subsequent month's rent payments
  • accounting functions and report generation
  • disbursement of landlord monies
  • disbursement of franchisee commissions
  • the management of a property repair and maintenance service
  • provision of a tenants emergency service
  • advice for overseas landlords
  • operation of the Tenancy Deposit Scheme

The management of tenancy deposits can be one of the most time consuming, complex and therefore costly aspects of the rented property sector. From April 6th 2007 all tenants' deposits must be lodged within a Government approved tenancy deposit protection scheme.

For complete peace of mind to both landlords and tenants, the BEPM unit, under the terms of the Tenancy Deposit Scheme (TDS) operated by 'The Dispute Service' will hold all tenants deposits as stakeholder throughout the tenancy period. The return of deposits at the end of the tenancy will be carried out strictly in accordance with the TDS scheme rules.

Bairstow Eves Franchising has selected an established and proven web based software system that uses the Oracle database at its core for use within the Bairstow Eves lettings franchise.

The web based system provides 'real time' property and tenant details, reports and account information enabling branch staff to keep landlords and tenants fully up to date upon request. Unique user passwords allow access to the system from any web connected PC or laptop, 24 hours a day 7 days a week, subject to the normal user conditions.

As an additional free service - landlords can be provided with their own unique user passwords enabling them to check the status of their account on a restricted 'view only' basis.
